Overview
Use StayPrivateMail to send secure emails, share files or send information that customers simply need to read and keep. Recipients get their own copies, automatically organised in Keepd.
There are four ways to send: from the website, from your existing email using #private, through the API or directly from your company account in Keepd.
1. Send from the website
Use the website to try StayPrivateMail and see what your customer receives.
- Open the website sending form and complete email verification.
- Add the recipient, a clear subject and your message.
- Add any files you want to share, then send.
2. Send from email using #private
Once your email routing is configured, your team can send through StayPrivateMail from their existing email accounts.
#private alone does not secure an email. Your email system must be configured to route matching messages through StayPrivateMail.- Create an email from an approved company email address.
- Add your customer as the recipient, then write the subject and message.
- Attach files if needed.
- Add
#privateto the email body and send.
Your email system routes the message through StayPrivateMail. By default, messages and attachments reach TLS-capable business inboxes using TLS encryption. Personal recipients and businesses without TLS receive a notification linking to Keepd. Copies are also organised in Keepd.
Use #private-all instead of #private when every recipient should access the message and files through Keepd, including business recipients.
Follow the #private setup guide or the Microsoft 365 setup guide. Once configured, use the sending guide for everyday instructions.
3. Send through the API
Use the API to send secure messages and files from your product, CRM, case management system or other business software.
This is useful when sending is part of an automated workflow, such as issuing a report or sharing an account update.
See the API documentation for authentication and integration instructions.
4. Send directly from Keepd
Your first use of StayPrivateMail triggers a Keepd welcome email. Follow it to access your account, or sign up at keepd.com. See the Keepd guide for sending and sharing instructions.
- Open Keepd and log in to your company account.
- Choose the customer you want to send to.
- Write your message and add any files you want to share.
- Send securely through StayPrivateMail.
Example email using #private
After email routing is set up, a message with a file might look like this:
Hello,
Please find your monthly report attached for your records. No action is needed.
Kind regards,
Your Company
#private
For a message without files, leave out the attachment and write the information in the email body. Keep #private in the body to trigger secure routing.
Optional folders
Messages and files are automatically organised for the customer. When sending files by email, you can also add a folder instruction to place documents in a named folder.
For example, put #folder Reports in the email body alongside #private.
The folder instruction is optional. See Structure customer folders for more guidance.
